Safety Meetings: Creating, Running, and Troubleshooting
How to set up a Safety Meeting, add attendees, collect signatures, and what to do when things go wrong.
Creating a Safety Meeting
- Open Safety Mojo and navigate to the Safety Meetings section from the main menu, or find the Safety Meeting form in your All Forms list.
- Tap New Meeting (or the + button).
- Fill in the meeting details: title, date, location, and topic.
- Add invitees from your user list. Type a name to search — only users already in your Safety Mojo account will appear.
- Save the meeting. Invited users will receive a notification with a link to sign in.

NOTE If an invitee isn't appearing in the list when you search for them, check that they have an active account in Safety Mojo. Users must be in the system to be added as invitees. |
Collecting signatures
- Each attendee opens the meeting link, reviews the content, and adds their signature by signing with their finger on screen.
- Once signed, the attendee should see a "Successfully added" confirmation.
- Completed signatures appear in the meeting's attendee list.
Signatures showing "successfully added" but not appearing
If a signature was added but isn't showing in the list:
- Refresh the meeting view — the signature may appear after a page reload.
- Ask the attendee to confirm they saw the success confirmation after signing.
- If the signature genuinely isn't saving, have the attendee try again on the web version (web.safetymojo.ai) rather than the app.
- If the problem is consistent for a specific meeting or user, contact support.
Safety Meeting showing a 404 error
If attendees receive the notification link but see a 404 error when they try to open the meeting:
- Confirm the meeting was fully saved and not left in draft.
- Try sharing the meeting link manually from within the app rather than relying on the notification.
- If the 404 persists, contact support with the meeting name, account, and date.
Safety Meeting disappeared from the account
If a Safety Meeting that existed previously is no longer visible in your list:
- Check whether the form has been hidden — hidden forms don't appear in the All Forms list. A Super Admin can unhide it from the form management settings.
- Check whether the meeting was accidentally deleted. Contact support if you need a deleted meeting restored.
- If Safety Meeting forms keep disappearing repeatedly and no one is hiding them, report this to support as a recurring bug.
Code showing in the Invitee field
If the Invitee field on a Safety Meeting form displays raw code or garbled text instead of names, this is a known display bug. The meeting data is intact — it's a rendering issue. Report it to support with the account name and a screenshot.
Safety Meeting not sending notifications to attendees
If invitees aren't receiving the meeting notification:
- Confirm their email addresses and phone numbers are correct in their profiles.
- Check that the meeting was fully saved and submitted — drafts don't trigger notifications.
