Using search and filters: tips and known limitations
How to search for forms, observations, and users — and what to do when results aren't appearing.
Searching for forms
To find a form in the All Forms section, use the search bar at the top of the forms list. Type the form name or part of it. If the form doesn't appear:
- Check that the form is not hidden — hidden forms won't appear in search. An admin can unhide forms from the form management settings.
- Make sure you have access to that form type. Some forms are only visible to certain roles.
- Try scrolling through the list manually — the search function may not return results for partial matches in all cases.
- On the mobile app, the form search can sometimes fail to return results even for exact names. If this happens, try using the web version at web.safetymojo.ai to locate the form.
Searching for observations
In the Observations section, you can filter by name, project, date range, and other criteria. If searching by name isn't returning results:
- Ensure the name is spelled exactly as it appears in the user's profile.
- Try filtering by project or date range first, then refine by name.
- If you're a Super Admin and can't see all observations, check that your profile isn't inadvertently filtered to a specific division or project.
Searching for users / employees
In the User Directory, you can search by name or email. If a user doesn't appear:
- Try their email address instead of their name.
- Paused or deactivated accounts don't appear in search results. If you believe the user exists but is paused, contact your admin.
- If you get an 'email already in use' error when adding them, they already have an account — search by email to find it.
Dashboard filters not working
If applying a filter on the Observations or Incident Reports dashboard returns no results or doesn't update the view:
- Try clearing all filters and reapplying them one at a time to isolate which filter is causing the issue.
- Check your profile — your division and project settings affect what data is visible to you by default.
- Refresh the page or log out and back in. Dashboard filters occasionally fail to apply after a session has been open for a long time.
- If filters are consistently not working across multiple users, report it to support — this may be a broader issue requiring investigation.

KPI dashboard data not matching expectations
If the numbers on your KPI dashboard don't look right:
- Confirm the date range filter — the default range may be cutting off recent submissions.
- Check whether other users are seeing the same discrepancy (it may be a display issue vs. a data issue).
- If you're manually counting observations because the dashboard totals are wrong, please contact support with specific examples. Include the date range, the expected count, and what the dashboard is showing.
Teambook search
Search in Teambook follows the same behavior as the main user directory. If a user doesn't appear in Teambook search, try their email address or check whether their account is active.
Reporting search or filter issues
When contacting support, include:
- What you were searching for (exact text entered).
- Which section you were searching in (Forms, Observations, Users, Dashboard, etc.).
- Whether the issue happens on the app, web, or both.
- Your account name and the date the issue occurred.
